Introduction#

VoiceHotKey is committed to protecting the privacy and security of our users. This Privacy Statement outlines our practices regarding the collection, use, and disclosure of information we receive through our website https://voicehotkey.com and our dictation application VoiceHotKey.

Data Collected by the Application#

Voice Recordings#

When you press your recording shortcut, VoiceHotKey records audio from your microphone. The audio file is transmitted over an encrypted connection to VoiceHotKey servers for speech-to-text transcription using AI-based speech recognition. Recordings are stored locally on your device and can be deleted at any time from the History menu in the app.

Device Identifier#

The app generates an anonymous device identifier (a random UUID stored in your Keychain on Mac App Store builds, or a hashed hardware identifier on direct-download builds). This identifier is used to associate your device with your account and license. It does not contain personally identifiable information.

System Information#

Each transcription request includes your app version, macOS version, and your selected transcription language(s). This information is used to process your request correctly and for diagnostic purposes.

Account Information#

If you create an account, we collect your email address for authentication and license management.

How We Use Your Data#

Voice recordings are transmitted to VoiceHotKey servers solely for the purpose of AI-powered speech-to-text transcription. Audio is processed and not retained on our servers after transcription is complete.
Device identifiers are used to link your device to your license and subscription.
System information (app version, OS version, language preferences) is used to process transcription requests and diagnose technical issues.
Account information is used for authentication, license management, and customer support.

Who Receives Your Data#

Your voice recordings and associated request data are sent to VoiceHotKey servers, operated by VoiceHotKey. These servers use AI-based speech recognition services to perform transcription. We do not sell, rent, or share your personal data or voice recordings with unrelated third parties.

Cookies and Tracking Technologies#

Our website uses Google Analytics and Facebook Pixel to track ad conversions; their cookies come from Google and Meta. We also set one cookie of our own, vhk_click, kept for 30 days. It holds a random visit identifier, the time of the visit, the name of the site you arrived on and the advertising tags from the link that brought you here (utm parameters and the fbclid and gclid click identifiers). We keep the same data on our servers together with your IP address, your browser type and the identifiers from the Meta Pixel cookies, and we add the visit identifier to our download links. We use this to learn which advertisement led to an installation of our software. If you create an account or buy a subscription after such a visit, our server reports that event to Meta (what happened, when and, for a purchase, the amount) together with the Meta Pixel identifiers, the IP address and the browser type of that visit, so that Meta can measure our advertising and show it to people who are more likely to use the product. We do not send Meta your email address, your recordings or your texts. No other cookies are employed. If you prefer, you can disable cookies through your browser settings; it won’t affect your experience at all, because our website doesn’t rely on cookies.

Our desktop and mobile software VoiceHotKey doesn’t use cookies.

Information Collection and Use#

Personal Information#

We collect personal information when you voluntarily provide it to us, when asking a question through form in this web-site or registering in application. This may include your name, email address, and any other contact details you provide when creating an account, subscribing to our newsletter, or requesting support.

Non-Personal Information#

We automatically collect certain non-personal information when you visit our website or use our application. This may include your IP address, browser type, operating system, and usage details such as the time and frequency of your use of VoiceHotKey.

We do not sell or rent your personal information to third parties. Voice recordings are transmitted to VoiceHotKey servers for transcription processing only. Any service providers involved in processing your data are required to protect your data to the same standard described in this policy.

Data Security#

We take reasonable measures to protect your personal information from unauthorized access, use, or disclosure. All data transmitted between the app and our servers is encrypted using HTTPS. However, no internet transmission is ever completely secure or error-free. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security.

Your Rights and Control#

You can delete your local recordings at any time from the History menu in the app.
You can request deletion of your account and associated data by contacting us or using the account deletion feature in the app.
No voice data is sent until you actively press your recording shortcut. The app does not record in the background.
